Student Center Reservation Information

Decoration Policy

 

I. Fire Prevention

A. Candles- Candles and open flames not only create a serious fire hazard, but also create a serious personal hazard as well. It is for these reasons that this policy has been established.

1. Candles and open flames will be permitted for ceremonies and functions of religious, cultural, social or honorary groups, as well as catered events.

2. Candles used for ceremonies and functions of religious, cultural, social or honorary groups and catered events MUST be in a secure and sturdy candle holder.

a. The candle MUST be enclosed by a votive.

b. The votive MUST be as tall or 1” taller than the candle, (this height includes the candleholders also).

3. Candles used for ceremonies and functions of religious, cultural, social or honorary groups and catered events MUST be extinguished immediately after the ceremony or function is complete.

3. **Section 308.3.1 of the International Fire Code addresses the issue of “Open flame decorative devices.”

308.1 General. This section shall control open flames, fire and burning on all premises.

308.3 Open Flame. A person shall not utilize or allow to be utilized, an open flame in connection with a public meeting or gathering for purposes of deliberation, worship, entertainment, amusement, instruction, education, recreation, awaiting transportation or similar purpose in assembly or educational occupancies without first obtaining a permit in accordance with Section 105.6

308.3.1 Open-flame decorative devices. Open flame decorative devices shall comply with all of the following restrictions:

5.The flame shall be enclosed except where openings on the side are not more than 0.375 inch (9.5 mm) diameter or where openings are on top and the distance to the top will not ignite in 10 seconds.

10. Candelabras with flame-lighted candles shall be securely fastened in place to prevent overturning, and shall be located away from occupants using the area and away from possible contact with drapes, curtains or other combustibles.

308.3.2 Location near combustibles. Open flames such as from candles, lanterns, kerosene heaters, and gas-fired heaters shall not be located on or near decorative material or similar combustible materials.

308.3.3 Aisles and exits. Candles shall be prohibited in areas where occupants stand, or in an aisle or exit.

308.3.6 Group occupancies.

Exceptions:

2. Where candles on tables are securely supported on substantial noncombustible bases and the candle flames are protected.

II. Flyers, Posters and Banners

A. Flyers and Posters

     1. Flyers must be signed in the Student Center Office on the third floor by the Student Center Coordinator or the Director of Intramurals and Outdoor Recreation.

    2. Flyers can only be hung on bulletin boards throughout the building.

    3. They can only be put up 10 days in advance of an event and will be taken down immediately afterward.

    4. If flyers are not stamped they will be immediately taken down.

B. Banners

     1. Banners may be hung inside the Slemp Student Center from the balconies.

    2. Banners must be approved by the Student Center Coordinator.

    3. Banners can only be hung with string, no tape can be used or the banner will be taken down.

    4. Reservations will be made for banners for five days, after five days the banner must be taken down.

    5. Only three banners per day are allowed on the balconies.

III. Paint, Glitter and Glue

 A. Paint is not allowed to be used at any event inside the Slemp Student Center. The use of paint will result in a housekeeping charge.

B. Glitter is not to be used inside the Slemp Student Center. The use of glitter will result in a housekeeping charge.

C. Glue is not to be used during any event in the Slemp Student Center. The use of glue will result in a housekeeping charge.

IV. Alcohol for Outside Organizations

 A. Alcohol cannot be served to an individual group unless that group applies for an ABC permit.

B. You must contact the Student Center Coordinator for more information regarding the ABC permit.

V. Alcohol for Student and On Campus Organizations

A. All Student or On Campus Organizations MUST fill out an alcoholic event request form. These forms can be picked up in the office of the Student Center Coordinator on the 3 rd floor of the Student Center. These forms must be completely filled out and returned to the Student Center Coordinator one month before the event. Failure to do so will result in a voided request.

B. Student and On Campus Organizations MUST go through Chartwells Dining services for alcohol.

C. You must apply for an ABC License through Amy Hopkins, Dining Services Director at least one month in advance of the event. Amy will inform you of the steps you need to take in order to apply for the license.

D. Bars MUST be cash only. There will be no open bars or BYOB.

E. An independent licensed security firm MUST be hired to be at the event. The number of security guards hired will depend on the amount of space and people at the event. Please contact the Student Center Coordinator to confirm how many security personnel need to be hired.

F. All organizations and individuals MUST abide by the Student Organization Handbook or by the Inter Greek Council Constitution, failure to do so will result in strict and harsh punishment of the organization and/or individuals.

G. The Student Center Coordinator, Dean of Students, Coordinator of Student Activities, Director of Housing and Residence Life, the Dining Services Director and the Vice Chancellor of Student Affairs has the right to refuse a request to serve alcohol in the C. Bascom Slemp Student Center at any time to any organization.

VI. Fundraising

 A.Fundraising is permitted by student organizations on the campus of UVa-Wise

B. All organizations MUST fill out a fundraising request form and have it approved by the Student Activities Coordinator in order to have a fundraising event.

VII. Student, Faculty and Staff Rates

A. Students, Faculty and Staff will get a 75% discount on reservation rates for the C. Bascom Slemp Student Center.

B. Students must be enrolled during the fall and/or spring semesters, students will not receive a discount if they have currently graduated, dropped out, or been expelled.

C. Rates will be determined by the Director of the C. Bascom Slemp Student Center.

VIII. Hours

 A. Student Center Hours are as follows:
Monday – Thursday 8 am to 11 pm
Friday 8 am to 9 pm
Saturday and Sunday 12 pm to 8 pm

Recreation Wing
Monday-Thurday 7 a.m.-11 p.m.
Friday 7 a.m. - 9 p.m.
Weekend Hours Remain the Same

B. Any events using the building after the closing hour will need to speak with the Student Center Coordinator at ext. 1000 so that arrangements can be made.
